Day one only happens once. Capture all of it.

A pipe bursts on a Friday night. Your after-hours crew arrives within the hour, documents the damage, begins extracting water and sets drying equipment in place. Before the job changes, you need a complete record of what the property looked like on day one. That's where iGUIDE comes in. One capture session produces the 360 virtual tour, room photos, damage tags and estimate-ready sketch that become the foundation of the claim.

Once mitigation starts, day one exists only in your file. Whatever you captured is what the carrier sees, and they expect it within 24 hours. Some want it faster.

The question is not whether you capture the loss once. It is whether once is enough.

Where the file is thin, the carrier disputes. Where the carrier disputes, everything stalls: the claim, the work and the payment. A complete file on day one is what keeps things moving.

What one visit captures on a water damage claim

The plan draws itself as you scan.

The PLANIX R1 is a lidar camera, and as you capture, Real-Time Floor Plan Preview reads each scan and draws the walls, rooms and openings on screen. Confirmed walls show in white. Anything the camera is less sure of shows in amber, so you know what to rescan before you pack up. The preview is a capture guide, not the final floor plan. It is there so you leave the property knowing the whole loss is covered, instead of scrolling raw scan data trying to guess. Real-Time Floor Plan Preview runs on the PLANIX R1.

Tag damage where it sits.

Moisture readings, damage and scope notes pin directly to the floor plan while you walk. The close-up you take of the mold behind the drywall attaches to the room it came from, instead of getting buried in a camera roll you sort out on Sunday. The record shows what was affected and exactly where. Crews use the same tags as a handoff, so the person writing the scope reads the loss the way the person who walked it saw it. Tagging runs on the PLANIX R1

Pull the room photos from the tour.

Every claim file needs room photos, even when there is a 360 tour. With Snapshot Mode you pull them straight out of the tour after you have left the site, framed the way you want, downloaded as a zip and added to the claim. That means you are not scanning the property and shooting every room separately. One capture covers both. You will still take progress photos once the drying equipment is set and final photos when mitigation is done, and those go on the file as tags.

The sketch arrives estimate-ready.

Premium Sketches include the built-in fixtures and appliances in kitchens, bathrooms and laundry rooms already drawn. Outdoor spaces like decks, patios and porches appear on both Standard and Premium Sketches. All of it arrives on the sketch you already order. Nothing new to buy, nothing new to do. Less for your estimator to redraw, less to re-enter by hand and fewer places for an error to creep in.

The ESX is ready to download.

The finished sketch comes back as an Xactimate ESX file. Download it from the Portal, add it to the claim and start the estimate.

One visit produces the tour, the photos, the tags and the estimate-ready sketch. Everything iGUIDE captures is built to land in Xactimate cleanly.

Share the loss while you are still standing in it

During a storm event, the desk adjuster may not reach the site for days. By then the scene has changed. Equipment is in, materials are out and the loss they finally see is not the initial loss you documented.

Share the tour link the day you scan. Walk the adjuster or file examiner through the property on a call while the damage is still visible.  They can move through the space, read the damage tags and pull their own measurements with the tools built into the tour. It is the loss, navigable, with the numbers attached.

Carrier eyes on the loss within hours means reserves get set faster, approvals keep moving and disputes get defused before they start. In storm season, when adjusters are stretched thinnest, this is the difference between a claim that moves and one that waits.

Claim documentation that holds up in a dispute

If the sketch is off, the estimate is off, and that is margin lost on every project. iGUIDE floor plans and ESX sketches come back within 2 percent margin of error, measured the same way on every job, so the number you price from is a number you can stand behind if a carrier or independent adjuster puts their own sketch next to yours.

The tags do different work. They hold the up-close damage photos and the dated progress shots, so when subrogation is on the table, the cause of loss is documented alongside the damage: the faulty fitting, the recalled appliance, the wiring that was not installed right.

Claims have long memories. Depending on the state, records need to live for seven to ten years. Your documentation should outlive the claim, and a downloaded iGUIDE does.

Your data, downloaded and kept

Standard and Premium orders come with an offline copy. Download the 360 tour, the room photos and the ESX and put them on your own storage. The offline tour is yours to keep and open indefinitely, with no hosting fees and nothing to renew. The copy you hold is the one that answers the question years from now.

Pricing follows the same logic. You pay per project. No monthly fee, no per-office charge.  Pay-per-project pricing lets you cost each job cleanly and stay flexible when the work slows down, and every project carries a known cost you can put straight on the job.

The capture is the same. The stakes are not.

  • Restoration contractors are working against the carrier clock. The complete day-one file is what keeps the estimate moving and the payment on track.
  • Independent adjusters need a record accurate enough that measurement questions never turn into a dispute in the first place,
  • Public adjusters are building the case for the policyholder. A navigable, measurable record is the strongest exhibit they can bring.

Defensible insurance claim documentation starts on day one

Your file is the only thing standing between day one and every question that comes after it. One visit produces the tour, the photos, the tags and the sketch. What you walked away with on a Friday night is what the carrier sees, what the estimator prices from and what holds up if the claim goes sideways.
